Cory: Hi, my name is Cory Minter, I’m President of Trinity Employment Specialists. And Trinity is a staffing company who specialized in staffing for the medical field for almost ten years now. And one of the key positions that we’re constantly recruiting for, is for a front office assistant for our medical clinics. [clears throat]

Trinity is a staffing company, we really put a high emphasis on trying to find only A players and there is no better place and no more important place in the entire medical industry I don’t believe that it’s more important to have a good patient etiquette and finding an A player than in the front office. The reason is, is because the front office is the very first person that a person is going to see. And you’ve heard over the years or at least I have, is that you never get a second chance to make a first impression and there is some truth in that. I think everybody knows that there’s some truth in that. And that’s why it’s extremely important that we commit to finding only A players in this position. And if this is a clinic manager that is reading this right now, you need to commit to only having a players in your front office, whether you use Trinity or not, it’s something that you should really- I would highly recommend that you do, just for the mere reason that most people are going to make decisions about the physician and the type of jobs they did, all by the way they were treated at the front desk and filling out the basic general paperwork. So this is a position that Trinity does not take lightly. It’s something that we think is extremely important for us to find for our customers.

I want to go over some of the key areas that we look for in trying to find a good front office candidate for our customers. The first thing is, is only find an A player and you’ll easily be able to determine that at what type of player they are. Generally, in the first week, but also you can tell a lot of times by the way they interview, by the way that they fill out their application, the way they go through the process. And that’s what we’re looking for, is make sure that we have only an A player at least from the interview standpoint and our intuition everything is firing on all cylinders before we send this individual out to our customer. But we need them to be able to input and scan patient information, something that’s going to happen every single day, the information that they’re going to receive is going to be confidential in nature, so they have to follow all the HIPAA guidelines with patient- with pertinent patient information, keeping it discreet and keeping it very private.

The next thing is, they’re going to be answering the telephone but it’s not just answering the telephone, it’s being exceptional when you’re on the telephone because any clinic they cannot afford to have somebody who just does not treat their customers exceptionally. And so you’ve been on the phone before with a customer service person or maybe your own doctor. I know that I called my doctor, I love my doctor, I’ve been with him for 15 years. But I called last week because I got an ear infection and they just treated me poorly over the phone. And they haven’t always done that in fact, they’re always very, very great, but that day, I just got the wrong person and had I been a new patient, I don’t know that I would have ever become a patient. And I don’t think that I would have ever become a patient of my physician. Now had I not- had I been treated that way, the very first time I called. So it’s extremely important that any physician group have a great front office presence, great phone etiquette and the ability to communicate with other people in a professional manner. And really just staying away from the yes or no answer type of person, you know what I mean? And they have the [Inaudible 00:04:25] voice really- that’s not what we’re looking for. We’re really trying to find someone who’s exceptional in this area.

The next thing is, they’re going to be greeting patients. So we need somebody who has a good smile, a good demeanor about their personality. We don’t want someone who is very brass or someone who just refuses to talk to someone. We don’t want to put someone in a position that it’s just not a good fit for them. So we’re trying to find people who love being around other people. They love talking with other people, they love helping other people. And they make other people feel pleasant when they speak with them. And so we’re trying to find that type of personal etiquette as well as a good phone etiquette.

This person is going to be green patients, they’ll be collecting co-pays, they’ll be verifying insurance, a lot of times. So they will be dealing with some money, they’re going to have to be very accurate and very detailed at how they handle cash and money and make sure that they document it appropriately. And they’re going to need to be able to probably close up to the cash drawer at the end of their shift.

They’re going to be creating medical records. All of these medical records are going to have pertinent, very sensitive type of information in it. So we need someone who has a great understanding of HIPAA guidelines and regulations. And they have a history of following them. And that’s something that we look for as well.

This individual can really drastically change the way a doctor’s office is viewed. We really want to make sure that we do an exceptional job at getting this position right, for our customers. We’re constantly recruiting for it, we’re recruiting for it now. So if you are a clinic and you’re looking for a front office position person and you’re having trouble with turnover, really, really we can help you. We do cost a premium, but the premium that we get, we’re going to be able to save you in money, in the long run if we get you an A player, guaranteed. And we interview ten times more people than you do. It’s just a matter of numbers, if we send out the right person, we handle it the right way. So we would love to work with you. But if you are a front office person, you’re looking for someone to work for, we would love to be a connection for you, but really only if you’re an A player. We really need to find somebody exceptional. And there are probably somebody watching this right now, they’re exceptional, that’s who we want to talk to or they have a desire to be exceptional, that’s a type of individual that we want.
